Who Needs Volunteers?
Marcia, I have been sensing rising levels of anxiety in your posts about the summer take and make crafts. If you have a preferred time and day that you would like to have some volunteers come in, let Xandi know (or Adrienne or I, who can pass the info on to Xandi) and she can find however many you need, especially now that school is ended. Even though the list is pretty much full, in the past Xandi has been encouraged to keep a list of volunteers who want to be on call for various things. Since we have been overflowing with volunteers lately, I'm guessing that it shouldn't be too much of a problem.
I don't know if it's been made clear, but the reason that we only have 2 slots available on the list is so we don't end up with more volunteers than we have tasks (which has happened before). It DOESN'T mean we can't add more slots as we need them- even if it's midway through a season!
I also don't know if we have an official guidline for staff volunteer needs, so let me propose the following:
1) Decide what tasks you need done.
2) Figure out a regular time you would like volunteers to be supervised to do the tasks and how many volunteers you'll need. If you have a sense for how long the project will take, that information would be helpful as well.
3) Notify either children's librarian or Xandi that you would like volunteers at a specified time. If you arrange the times with Xandi, please make sure one of the librarians knows about it and note it on the master volunteer copy (MVC) in the library assistants' cubicle. If you are a librarian, mention it to the other librarian :). If the volunteer project overlaps more than one season, make sure the information gets transferred from season to season on the MVC.
4) It also wouldn't hurt to post it on the blog :).
Now, no one's going to get their pay docked for not following the procedure, but I'll tell you that it will make things run a LOT more smoothly. We are all independent thinkers and doers in this group and we may need to be reminded from time to time to keep each other posted on what's going on in our respective corners of the department. And I can say this because I know I'm the worst one of all of you. Feel free to keep me accountable to my own policies :).
